Event Terms and Conditions
1. General Booking & Entry Fees
All race entries must be completed and paid in full using our online booking portal.
Booking confirmations are subject to valid British Radio Car Association (BRCA) membership verification (new drivers are permitted a maximum of 3 trial meetings before full BRCA membership is required).
Race entries are personal to the registered driver and class; they are non-transferable to other drivers without prior written approval from Race Control.
2. Event Cancellation & Threshold Policy
Booking Cutoff: Online entries close strictly 10 days prior to the scheduled event date at 23:59 GMT.
Minimum Participant Requirements: To ensure viable heat structures and cover venue hire costs, each race class and overall event requires a minimum number of confirmed, paid entries by the 10-day deadline.
Club-Initiated Cancellations: We reserve the right to merge or cancel individual race classes, or cancel an entire race event, if entry numbers fall below minimum thresholds when bookings close.
Refunds for Cancelled Events: If an event or class is cancelled by the club due to low entry numbers or unforeseen venue issues, registered drivers will receive a 100% full refund or the option to transfer their entry fee as account credit toward a future meeting.
Driver-Initiated Cancellations: Driver cancellations made prior to the 10-day booking cutoff are eligible for a full refund or credit. Cancellations requested after the 10-day cutoff are non-refundable.
3. Venue Rules & Pitting Standards
Floor Protection: All vehicle chassis screws must be fully countersunk. Body posts and axle ends must be trimmed flush to protect venue sports hall flooring and track carpet.
Minimum Ride Height: All vehicles must maintain a minimum ground clearance of 5.0mm (On-road/MTC) or class-specific limits at all times.
Pit Table Protection: All drivers must use a dedicated pit mat or heavy towel to protect venue tables, if used, from lubricants, additives, and solder.
Footwear & Attire: Closed-toe shoes are mandatory across the sports hall, pit area, driver stand, and track side at all times. Open-toed shoes, sandals, or flip-flops are strictly forbidden.
4. Mandatory LiPo Battery Safety
Charging Enclosures: All Lithium Polymer (LiPo/LiHV) batteries must be charged and balanced inside a sealed, fire-retardant LiPo sack or dedicated safety box.
Voltage & Supervision: Maximum permitted charging voltage is strictly 8.40V (4.20V per cell). Overcharging or leaving batteries unattended while charging is strictly prohibited and grounds for immediate event disqualification.
5. Driver Conduct & Marshalling
Marshalling Duty: Drivers are required to marshal the race immediately following their heat or final. Drivers running back-to-back races must organise a competent replacement marshal prior to their race start.
Junior Drivers (Under 18): Drivers under 18 years of age must be accompanied by a parent or legal guardian at all times. If a junior driver is unable to marshal safely, their parent/guardian must provide a qualified substitute marshal.
Sportsmanship: Verbal abuse, shouting, or aggressive behavior toward marshals, officials, or fellow drivers will result in warnings, lap penalties, or venue ejection.
6. Liability Waiver & Insurance
Assumption of Risk: Radio-controlled car racing involves high-speed mechanical models. Participants, marshals, and spectators enter the venue and track area at their own risk.
Limitation of Liability: Neither the club, its committee members, nor the venue owners accept liability for personal injury, illness, or loss/damage to personal property, tools, or vehicles incurred during an event, except where caused by proven negligence.
Governing Body Coverage: Third-party public liability insurance is provided via valid BRCA membership. All claims regarding track incidents must be directed through official BRCA channels.
